JOB SUMMARY
The VETS Center Assistant Director and Certification Official assists the Director in leading the SNU Office of Veterans Services and VETS Center. The Assistant Director’s primary responsibility is to manage all aspects of implementing its VA/DOD education benefits enrollment certification processes. The Assistant Director is responsible for the accuracy of record keeping and process quality control and assurance with enrollment certification submissions and student account reconciliations. Helps ensure coordination, collaboration, and cooperation exists between the VETS Center staff and the Academic Support Services staff and Financial Services Division staff. The Assistant Director serves as the lead action coordinator in preparing VA/DOD education benefit-based reports for submission. Also serves as a Certification Official in submitting enrollment certifications for VA/DOD education benefits on behalf of veteran-military affiliated students. Will meet with individual veterans, military service members, and military dependents to assist, support, and mentor students on their VA/DOD education benefits, career transition resources, and academic persistence and special accommodations resources. Will work with the Director to help build relationships and initiate outreach efforts on and off campus to support SNU and its veteran and military community. Also provides operational and budget planning assistance and recommendations to the Director.
RESPONSIBILITIES
Essential Functions:
- Plan and oversee campus information meetings and tours. Promote, coordinate, and conduct campus visit meetings for prospective students. Respond in a timely manner to requests for information on SNU programs and veteran education benefits.
- Provide QA/QC on the VETS Center processing of VA/DOD education benefits certification system and processes. Ensures collaboration and cohesion between team certification officials and with the university finance and business offices and academic support service offices.
- Ensures accuracy of data inputting on the VETS Center Certification Date Tracker and ensures all certification officials update it regularly.
- Responsible for the Student Veteran Scorecard Analysis Report for the Fall, Spring, and Summer Terms.
- Liaise with community support organizations as assigned by the Director for veterans to provide information about SNU’s veteran student programs and connect SNU Veterans to community resources and area veteran support organizations, including on and off-campus events.
- Integrate veteran information into an existing data tracking system and maintain records of program prospects until they are officially enrolled in their desired degree completion programs.
- Prepare and lead coordination efforts for IPEDS Phase 2 Reporting, 85/15 ratio reporting, and 35% exemption reports.
- Serves as VETS Center lead in coordinating, hosting, and facilitating financial synchronization meetings between the university finance office, business office, and VETS Center.
- Maintain training proficiency and maintain VA approval for serving as a Certification Official for submitting enrollment certifications to the VA for eligible veteran-military affiliated students using VA education benefits.
- Attend and assist at new student organization nights as assigned by the Director.
- Serves as the student veterans contact for the SALUTE National Honor Society.

Qualifications
Required Qualifications:

- Must have a bachelor’s degree.
- Minimum of three years of related work experience and/or relevant training.
- Possess strong verbal and written communication skills, including typing and spelling competency, and excellent organization skills.
- Ability to prioritize multiple demands in fast paced work environment.
- Must be able to work effectively in a veteran-oriented and higher education team environment.
- Must have reliable transportation as a means of meeting with organizations within the greater OKC, Tulsa, and Lawton/Fort Sill areas.
- Have knowledge on the DOD Tuition Assistance program and VA education benefits and enrollment certifications and/or experience in a relatable profession. Must maintain training proficiency as a Certification Official.
- Ability to maintain strict confidentiality of all university business especially as it relates to records and personal information and finances.
- Must possess a professional demeanor and always maintain professional work attire.
- Knowledge of VA and DOD educational benefits and programs.
- Must have documented leadership experience. Must possess ability to identify and work on specified and implied tasks to accomplish the goals, objectives, and mission of the VETS Center and support the Director’s vision and end state for the VETS Center. A self-starter who can operate from intent.
- Experience with various computer software applications utilized by the university, the DOD, and VA.
- Data entry and data analysis experience.
- Expectation of travel is 25%, which may include up to one day per week of travel to SNU’s Tulsa campus on an as needed basis for meeting with its faculty/staff, veteran-military affiliated students, participating in Tulsa area veteran resource events, and engaging with leaders in the greater Tulsa veteran community.
- Can expect 75-80% of work focus will be on managing enrollment certifications, student account reconciliations, QA/QC on certification process, preparing reports, and collaboration with on-campus partners. Can expect 20-25% of work focus will be on community outreach, both on and off campus, key leader engagements, and operational/budget planning and coordination.
Preferred Qualifications:
- Military experience and experience in higher education
- Documented experiences in recruiting and interacting with veterans and military service members and dependents.
- Experience in certifying VA/DOD educational benefits.
Supervision Received:
Receives supervision and work assignments from a designated supervisor.
Supervision Exercised:
May be responsible for the coordination of work assignments for VETS Center staff members and potential student employees. Has coordination responsibility for overseeing and ensuring quality control on the VETS Center’s system and processes for enrollment certifications on behalf of veteran-military affiliated students.
